Please read these booking conditions carefully as they are the sole terms and conditions of the contract between you and Vitamin Sea Travel.

Please Note: These are the standard terms and conditions of your holiday booking, some of the accommodation properties have additional property specific terms. This will be included within your booking.

Vitamin Sea Travel – Booking Terms and Conditions

Please take the time to read these Booking Terms and Conditions, we appreciate that it is tempting to skip the content but these things are important. We have written the booking terms and conditions to describe clearly booking policies and procedures and to clarify the contractual relationship between you and  Vitamin Sea Travel.

Please check that the details on the booking and in these terms are complete and accurate, before you submit the booking. If you think that there is a mistake or require any changes, please contact us.

A ‘booking’ refers to any confirmed invoice of reservation sent via email or post.
A ‘holiday’ or ‘escape’ refers to any booking made.
‘Supplier’ refers to the supplier of your main holidays elements (i.e. accommodation/activity/additional extras)

  1. Prices 
    When a booking is made, the price you receive is guaranteed unless changes to the booking are made. All prices will be sent via email or post and will be listed per person with the overall total payable including VAT.
  2. Deposits and Payments 
    A deposit of 20% of the total booking fee is required at the time of the booking. When flights are included within a booking, the deposit will include flight prices and 20% of the total booking fee. Deposits are non-refundable but may be transferred to a new booking. Transferring may only be carried out due to exceptional circumstances and you must inform us 8 weeks or more before arrival. For all bookings, full payment must be received no less than 8 weeks prior to arrival. If full payment is not received by these dates, then we can reserve the right to cancel your booking along with any relevant cancelation charges set out below.

We assign a reference code to the booking and inform you of it when confirmation is made. Please quote this code in all subsequent correspondence with us relating to your booking.

Payment can only be made via card payment – Please see payment section below.

For all holiday bookings a deposit needs to be paid within 48 hours of confirmation or your holiday will be cancelled. Your booking is only confirmed once you have received confirmation from Vitamin Sea Travel through receipt of a booking voucher via email. (Postal confirmation can be sent if requested)

Security deposits are at times required if staying in specific accommodations. This will be properties such as a holiday cottage, beach hut or apartment.

A deposit will be required to be paid by you in respect of damage to the accommodation, damage or loss of contents, damage or loss to keys, excessive or incorrect use of facilities.

We will inform you of the amount of  security deposit to be paid. The security deposit will need to be paid one week before the start of your arrival. We will remind you 2 weeks before.

Vitamin Sea Travel or the owner will assess the accommodation after your stay and will provide you with a refund of the deposit, inform you of the amount to be retained; or inform you of the amount to be further charged or if any damage has occurred.

  1. Amendments
    Changes to a booking may be possible up to 8 weeks or earlier prior to arrival but cannot be guaranteed. An amendment fee of £50 per person will apply to all changes, including cancellation. If changes to the dates of travel are made, the new arrival date must be within exactly 365 days from the original arrival date when the booking was first made. Amendments to flights are subject to separate rules held by the airline. Refund for flights cannot be given.


  1. Cancellations
    If you cancel a booking the following charges will apply:

57 – 70 days 50% of the holiday cost or deposit if greater
29 – 56 days 75% of the holiday cost or deposit if greater
0 – 28 days 100% of the holiday cost


If you fail to turn up to any part of the holiday, 100% of the holiday cost will still be charged and no refund issued. The period of notice refers to the number of days prior to the arrival date in the booking that we receive written/email notification of your holiday cancellation. The holiday cost also includes flights. Refunds can only be made if a supplier changes or amends an original booking and an alternative booking cannot be made.

  1. Flights
    All flights must be paid in full along with a 20% deposit when confirmation is made. All flights cannot be refunded if cancelled.
  2. Changes made by Vitamin Sea Travel
    In the unlikely event that we need to significantly amend (e.g. change flight times by 6 hours or more, downgrade accommodation, change activity bookings, etc.) or cancel your holiday, you can choose from one of the following options:
  3. i) Book another holiday from us; paying or receiving the difference in price.
    ii) Cancel your holiday
    iii) Accept any amendments made to your holiday with any refunds made.

We will inform you of any amendments to your holiday. Remember any changes made are from causes outside our control and we reserve the right to make these changes. We are not liable for any forced cancellations or changes that stem from adverse weather conditions, fire, floods, terrorism, strikes, airport closures or any other circumstance that are beyond our control. However, we will try and find an alternative.

  1. Travel Insurance
    All persons under your booking must have travel insurance as Vitamin Sea Travel cannot be held responsible for any liability, losses, or expenses you may incur. We strongly advise comprehensive travel insurance that cover our policies for amendments or cancellation charges is purchased at the time of booking.
  2. Vitamin Sea Travel responsibility
    Vitamin Sea Travel acts as a booking agent/consultant and uses external suppliers (i.e. hotel/holiday cottages/activities) and cannot be held liable in any way if you or any person under the booking suffers from illness, bodily harm, or death unless caused by our own negligence. We ensure the core elements of your holiday are to a high standard as described at the time of holiday booking. We may create mixed packages consisting of different holiday elements (e.g. accommodation, flights, activities etc.) and source these through different suppliers thereby offering you one cost for all elements of the package.

-Your Financial Protection

Vitamin Sea Travel offers consumer protection, you will receive a certificate of membership that lists what is financially protected, where you can receive information and what this means for you and who to contact if things go wrong.

Whilst we keep our photographs and other imagery as up to date as possible, any photographs and other imagery displayed are for illustrative purposes only and subject to change.

  1. Your responsibility
    Please remember that you are responsible for your actions and all members under your booking. If it is believed that any member of your party causes offence, distress, danger, damage or annoyance to either other guests, members of the public, staff, suppliers or property, we may terminate your booking with immediate effect.

We will not take responsibility for any party member; our contract with you will be terminated and the full cost of the holiday forfeited without any compensation, refund or expenses you may incur.

It is your responsibility to ensure that any insurances in your booking are made necessary, this is not Vitamin Sea Travel responsibility. Before booking and taking part in any holiday activity/package, we advise consulting a doctor for your suitability in taking part. It is also your responsibility to advise us of any medical or heath conditions that may affect your involvement in the holiday and/or activity, failing to do so may result in aspects of your holiday being altered or cancelled by the supplier or ourselves.

If you are booking your own flights or any other means of (public)transportation, please do not book these until your booking has been confirmed by Vitamin Sea Travel. Once you have received a booking reference code/confirmation via email or post from us – this then means we have availability for all our suppliers necessary to fulfil all elements that make up your booking.

You should ensure that you have valid identification during your booking, as some suppliers/accommodation may request this.

Please note that Vitamin Sea Travel are not open 24 hours a day and do not have an emergency out-of-hours contact should an emergency arise outside our opening hours. We cannot therefore be held liable for any costs as a result from missed flights, travel, transfers, activities or accommodation. Should any urgent situation arise please leave a voicemail and we will respond as quickly as possible.

10. Problems and Complaints
If you have a complaint whilst you’re on holiday, please bring this to the attention of the Vitamin Sea Travel/accommodation/supplier immediately so you have the best chance of resolving your issue; failure to do so may hinder any claim you wish to make. If you are still unable to resolve your problem please contact us so that we can help you whilst you are away. If you wish to complain on return, you must do so within 28 days from the day of arrival back home. We aim to deal with all complaints immediately and resolve any concerns you have/experienced.

  1. Payment
    Payments can me made via card payment. A booking reference number will be given to you at time of payment.
  2. Refunds

All refunds given will be made back onto the card, payment was taken from.

  1. Your Escape

All activities/accommodation within your booking, are subject to amendments by the individual supplier. Vitamin Sea Travel will always do our best to represent the most accurate information/details but cannot be held responsible if the supplier has edited, removed or changed the material and failed to notify us.

Activities/classes/lessons/sessions are run via individual suppliers and will be listed in the content and itineraries sent by Vitamin Sea Travel. These may have set times/schedules and are subject to cancellation, variation and availability. Vitamin Sea Travel cannot be held responsible for this.

All tours and additional extras included within your booking are subject to amendments and cancellations, this will be out of our control and subject to changes by the respective local suppliers. Vitamin Sea Travel will always do our best to find you an alternative or solution if one is available. Pre booking of additional extras will be included in booking confirmation.

After you have booked your holiday with us we may pass on your contact email address, name and telephone number to the suppliers to ensure pre-reading material, health concerns or holiday preferences can be organised.

  1. Accommodation

Accommodation used in your booking is made via a supplier and will be stated in your booking confirmation. Additional terms and conditions may apply.

The maximum number of people who can stay at the accommodation will be notified to you as part of the booking process. You must not exceed that number or this can affect our right to cancel your booking of accommodation.

You must arrive at the chosen accommodation at the dates and times in the booking (unless you notify us otherwise and we agree the same in advance). Your accommodation will not be available at any time outside of the times reserved by you. We reserve the right to make a reasonable additional charge (whether by retaining the security deposit or otherwise) in the event that you have not left the accommodation by the agreed departure time.
